Registering at your university on a China scholarship: the deadline rule and what to bring

Arriving after the registration date does not by itself end a scholarship, but only if you ask before the deadline passes. The Guidebook to the ASEAN-China Young Leaders Scholarship and the Chinese Trade Unions Silk Road Scholarship page both state that students who cannot register on time must obtain permission from the host institution directly; those who fail to register without that prior consent are regarded as voluntarily giving up the scholarship, which is then terminated automatically. The 2025 International Chinese Language Teachers Scholarship guidelines put the same rule in fewer words: register within the period set out in the Letter of Admission, or the scholarship is revoked.

Where the deadline is written

None of these notices fixes a single calendar date for registration. Each sends you back to your own paperwork:

The ASEAN-China guidebook adds a second, blunter sentence in its scholarship confirmation section: the scholarship will not be reserved if a recipient cannot register before the registration deadline. The MOFCOM guide gives no year for those months and tells applicants to consult the application receiving authority for the deadline of each year.

What to bring

The ASEAN-China guidebook and the Silk Road page list three items for registration: the Admission Letter, the Confirmation Form for Study in China (JW201) — called the Visa Application for Study in China (JW201) on the Silk Road page — and the Foreigner Physical Examination Form. The Silk Road page specifies the original Admission Letter; the ASEAN-China guidebook does not say whether copies are acceptable, so treat the originals as the safer reading and confirm with your host university.

Both documents also tie registration to the visa you travel on. Students who arrive with other types of passports or visas, or without the requested documents, cannot register with the university and cannot apply for the residence permit. Under the ASEAN-China guidebook, X1 is the visa for study of more than six months and X2 for study of six months or less.

After registration, the same two documents describe a separate step: students staying more than six months must have their physical examination report verified at the local health quarantine office, submitting passport, Admission Letter, Foreigner Physical Examination Form and Blood Test Report, and must then apply for a residence permit with the local police authority before the deadline set by the visa-issuing authority.

If you know you will be late

The notices state the requirement, not the procedure. They do not say who to write to, how far in advance, or what form the permission takes. What follows from the text, in order:

Check the registration deadline printed in your Admission Letter first. Contact the host university directly, before that date passes. Ask them to confirm in writing that they agree to your later registration. Register with the documents listed above once you arrive. Keep that confirmation with your admission documents.

What the notices do not offer is a grace period. The ASEAN-China guidebook's statement that the scholarship will not be reserved is unconditional, and none of the four documents describes an appeal or reinstatement route.

When the registration date affects your first stipend

Only one of these documents connects registration to money. The 2025 International Chinese Language Teachers Scholarship guidelines state that students registered before the 15th of the month, inclusive, receive the full allowance for that month, while those registered after the 15th receive half. The monthly living allowance in those guidelines is RMB 2,500 for undergraduates, one-year study students and one-semester study students; RMB 3,000 for master's students in International Chinese Language Education; and RMB 3,500 for doctoral students in that field. Four-week study programme students are excluded from the living allowance altogether.

That edition is dated January 2025 and was written for programmes starting between July 2025 and March 2026, so the figures belong to that cycle and should be checked against the current guidelines. The ASEAN-China, Silk Road and MOFCOM documents say nothing about how the registration date affects the first stipend payment; this page will not supply a figure they do not give.

Questions people ask

What happens if I arrive after the deadline without telling the university?

The ASEAN-China guidebook and the Silk Road page treat that as voluntarily giving up the scholarship, and say the scholarship is then terminated automatically. The 2025 Chinese Language Teachers Scholarship guidelines say the scholarship is revoked. None of them describes a way to reverse it.

Does registering late change my first month's stipend?

Only the 2025 Chinese Language Teachers Scholarship guidelines say so: before the 15th of the month inclusive, the full month; after the 15th, half. The other three documents are silent on the point.

Can I register if I entered China on a tourist visa?

No, on the wording of the ASEAN-China guidebook and the Silk Road page: students arriving with other types of passports or visas, or without the requested documents, cannot register with the university and cannot apply for the residence permit.

Will the scholarship be kept for me until the next intake?

The ASEAN-China guidebook says explicitly that the scholarship will not be reserved if the recipient cannot register before the registration deadline. The other documents do not address holding an award over.

Who gives permission for late registration?

The host institution directly, according to the ASEAN-China guidebook and the Silk Road page. Neither document names an office, and neither routes the request through the China Scholarship Council.

When do MOFCOM scholarship winners register?

The enrollment guide says the admission package comes from ECCO of the Chinese Embassy by the end of August, and that registration is usually in September. It names no year and no fixed date, and refers applicants to the receiving authority for each year's deadline.
